Southern Nanny Company ("Southern Nanny Company," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we handle personal information when you visit southernnannycompany.com, use our forms, apply as a nanny, request childcare services, purchase or access our digital products, use the Southern Nanny Company client portal, or otherwise interact with us.
1. Scope
This policy applies to personal information we collect through our website and related Southern Nanny Company services. Third-party services such as Checkr and, when enabled, Stripe may process information under their own privacy notices and terms.
2. Information We Collect
Depending on how you interact with us, we may collect:
- Contact information: name, email address, phone number, mailing address, and preferred contact method.
- Resource and marketing preferences: information you provide when requesting a free guide or assessment, along with consent records, email-delivery status, download status, and unsubscribe preferences.
- Family and childcare information: schedule, children's ages, care requirements, household needs, role expectations, and other information you choose to provide when seeking childcare support.
- Nanny applicant information: employment history, education, availability, qualifications, references, resume information, and other application details.
- Product and account information: product access, course progress or portal activity, purchase-related records, and customer support communications.
- Background-screening information: information needed to coordinate a screening through Checkr. Sensitive screening data may be collected directly by Checkr rather than through Southern Nanny Company website forms.
- Technical information: IP address, browser/device information, session data, security logs, and information generated by cookies or similar technologies.
- Payment information: when online payments are enabled, Stripe is expected to process payment-card details. We may receive transaction identifiers, payment status, billing contact information, and related purchase records, but we do not intend to store full payment-card numbers on our website servers.
3. How We Use Information
We may use personal information to:
- Respond to questions, applications, babysitting requests, and service inquiries.
- Deliver requested guides or assessments and, when disclosed at the point of collection, send follow-up emails about Southern Nanny Company services and nanny-search support.
- Evaluate family needs and nanny applicant qualifications.
- Recruit, screen, coordinate interviews, and support nanny placements.
- Provide Nanny in a Box, digital materials, client portal access, and customer support.
- Coordinate background checks requested by a family or permitted user.
- Process and maintain records of payments when online checkout is enabled.
- Secure, troubleshoot, maintain, and improve our website and services.
- Comply with legal obligations, enforce agreements, and protect our users, candidates, families, and business.
4. Background Checks
Southern Nanny Company may facilitate background checks through Checkr. A background check is not ordered merely because someone submits a general website form. Where required, the candidate must receive appropriate disclosures and provide authorization before a screening is requested. Screening results are one part of the hiring process and do not replace a family's own judgment or legal responsibilities.
Nanny in a Box currently includes one background check through Checkr via the Southern Nanny Company client portal, with additional checks available for $50 each. Pricing and availability may be updated prospectively on the applicable product page or checkout.
5. How We Share Information
We do not sell personal information for money. We may disclose information to:
- Service providers that help us host, secure, communicate, operate forms, provide client-portal functionality, or support our business.
- Checkr to facilitate authorized background screenings.
- Stripe to process online payments when checkout is enabled.
- Families, candidates, or references when disclosure is reasonably necessary to evaluate or coordinate a potential childcare placement and is consistent with the purpose for which the information was provided.
- Authorities, advisers, or other parties when reasonably necessary to comply with law, protect rights or safety, investigate fraud or misuse, or respond to legal process.
- A successor organization in connection with a merger, acquisition, financing, restructuring, or sale of some or all of our business, subject to applicable law.
6. Cookies & Similar Technologies
Our site may use essential cookies and similar technologies for session management, security, form protection, and website functionality. Forms may use Cloudflare Turnstile for bot protection. Additional analytics, preference, advertising, or payment-related technologies may be introduced as our services evolve. See our Cookie Policy for more information.
7. Privacy Rights
Depending on where you live and applicable law, you may have rights to request access to personal information, correct inaccurate information, request deletion, obtain a portable copy of certain information, or opt out of certain types of processing. Texas residents may have additional rights under the Texas Data Privacy and Security Act when that law applies.
Marketing emails include an unsubscribe link that can be used to stop future promotional messages from the applicable email series. We process those opt-out requests promptly and do not require a portal login.
To submit a privacy request, email info@southernnannycompany.com with "Privacy Request" in the subject line. We may need to verify your identity before completing a request. We will not unlawfully discriminate against you for exercising an applicable privacy right.
8. Data Retention & Security
We retain personal information for as long as reasonably necessary for the purposes described in this policy, including providing services, maintaining business and placement records, resolving disputes, enforcing agreements, and meeting legal obligations. Retention periods vary based on the type of information and the context in which it was collected.
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. Children's Privacy
Our website, products, applications, and client portal are intended for adults, including parents, guardians, household employers, and nanny applicants. They are not directed to children under 13, and we do not knowingly ask children under 13 to submit personal information directly to us. Parents or guardians may provide information about their children when describing childcare needs.
10. Third-Party Links & Services
Our website may link to third-party websites or services. Their privacy practices are governed by their own policies, not this Privacy Policy.
11. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date above identifies the current version. Material changes may also be communicated through the website or other appropriate means.
